THE MANUAL WORK BETWEEN THE TOOLS

Signed agreements.
Manual work still waiting.

For the people preparing contracts,
updating HubSpot and handing work over.

01 / PREPARE

The same details.
Entered again.

Copying deal details into a template, then checking another spreadsheet before you send it.

02 / UPDATE

The agreement changed.
Did HubSpot?

Checking signed dates and selected values against the deal, then updating them by hand.

03 / HAND OVER

One customer.
Which agreement?

Finding the signed copy and working out which deal and person should receive it before handover or renewal review.

Tell us where the handoff breaks. We’ll look at one workflow with you before proposing changes.Let’s discuss it
WHAT A SCOPED IMPLEMENTATION CAN COVER

A workflow your team
can use and check.

Agree what we configure, how we check it and what your team receives. We review your existing tools before proposing custom work.

Existing native configuration may be sufficient. We’ll start there.

01

Prepare from the intended deal

Configure an agreed template and supported fields around the deal information your team already maintains.

02

Check the signed-document handoff

Agree which values and completed PDF should reach which record, then verify the supported route against agreed test cases.

03

Give the operator a usable handover

Document the agreed setup, routine checks, the responsible person and what to do when a handoff needs attention.

Your quote confirms the deliverables and checks. Scope depends on your tools, subscriptions, templates and business rules.

A WORKED EXAMPLE

One customer.
Two deals.
The right agreement.

A support agreement starts from the intended deal. After signing, selected details and the completed PDF belong with that record. The separate project agreement stays with its own deal.

  • Confirm the intended deal and document.
  • Compare the agreed fields with the signed source.
  • Give the responsible person a clear next check.

A FEW THINGS TO KNOW

Before we talk.

A clear scope starts with
clear expectations.

Is this software or an implementation service?

This is an implementation service. We assess your existing workflow and propose the appropriate configuration or integration work.

We already have an integration. Can you still help?

Yes. Describe what works and what still requires manual work. We first assess whether your existing configuration can meet the need.

Will our current HubSpot and signing-tool plans support this?

It depends on the workflow and features you need. Tell us which tools and plans you use. We identify the important dependencies and assess the supported route before quoting. Some workflows may require additional vendor features or licenses.

Do we have to change signing tools?

A change is not assumed. Tell us your current tools and constraints. The PandaDoc example does not establish identical functionality in another tool.

What does implementation cost?

We quote after understanding the workflow, tools and dependencies. Your quote separates implementation from any additional vendor licenses or recurring tool costs, and states the agreed deliverables and checks.

Can we discuss renewals or mid-term changes?

Yes. Tell us whether the difficulty is preparing agreements, keeping signed details with the right record, or managing dates and ownership for renewal. Renewal tracking, amendments, migration and billing are assessed as separate scopes.

LET’S LOOK AT YOUR WORKFLOW

What would you
like to stop
doing manually?

Tell us where the contract work gets stuck, whether you are setting up a new process or improving an existing integration.
