Renewal Fix Guide
How to make renewal deals create themselves in HubSpot
Rebuilding a renewal deal by hand from the old one takes 15 to 30 minutes each, and at a few hundred renewals a quarter that is a full-time job of retyping. Here is how to automate it in HubSpot, and the platform limit that makes the do-it-yourself version fragile.
- 1
Trigger on Closed Won, with the right filters · 15 min
Build a workflow that triggers on Deal Stage = Closed Won, Pipeline = Sales, and Deal Type = New business. That last filter is essential: without it the workflow re-fires on the renewals it creates and spawns duplicates.
- 2
Create the deal (here is the catch) · code
HubSpot's native Clone action cannot run inside a workflow, the workflow Create record action does not copy line items, and Copy property value writes back to the source deal, not the new one. So you need an Operations Hub Custom Code action (roughly a 20-second limit) that POSTs a new deal through the API.
- 3
Set every renewal field · code
In that code, set Pipeline = Renewal, Stage = first renewal stage, Deal Type = Renewal, Renewal Date = Close Date + Contract Term, Renewal Year = prior + 1, re-assign the owner from AE to CSM, and re-associate the company and contacts. Every one of those is a line you write and maintain.
- 4
Guard against the loop and duplicates · 15 min
The closed-won trigger has a re-enrollment problem (see below), and a manual-plus-workflow race routinely creates duplicate renewal deals, so add a dedupe check before you create anything.
What this costs you to run by hand
Every field the renewal needs is a separate action or a block of custom code you own. Worse, HubSpot blocks a workflow from re-triggering on a deal it created, so year 2 never spawns year 3, forcing 31-minute-buffer or odd/even-workflow hacks. It is fragile RevOps plumbing that breaks silently, usually when the person who built it has moved on.
The faster way. The build creates renewals off the closed-won or a time-based trigger server-side, outside HubSpot's workflow enrollment, so the loop hacks simply do not apply, and a rule sets the pipeline, date, owner, and name every time. The audit shows you which closed-won deals have no renewal built today, and the revenue sitting in them.

Common questions
Can't we just build this with a workflow or Zapier?
You can get part way, but HubSpot cannot clone a deal inside a workflow, the create-record action drops your line items, and the chain silently stops at year 3 because HubSpot won't re-trigger a workflow on a deal it created. Those are platform limits, not effort problems, which is why do-it-yourself renewal automation tends to leak.
Why not a cheap clone app?
A cloner copies a deal, which is the easy 10%. It gives you no renewal pipeline, no revenue analytics, and no date-shifting, so the renewal leak, the other 90%, is untouched.
