Two observations from that table.
The stages worth automating first are the boring ones at the end, not the visible ones at the start. Most projects begin with drafting and templates because that is what vendors demo. The money is in the post-signature half, where nothing is being watched.
And the two stages marked no are the two where a mistake is expensive and irreversible. An automated approval that routes to the wrong manager costs an hour. An automated price increase that lands on an unhappy customer at renewal costs the account.
What manual contract management actually costs
Before deciding what to automate, be clear about what manual contract management costs, because the case for contract automation software is usually made in the wrong place.

The reason the third field matters: on a contract with an auto-renewal clause, the end date is not the deadline. The notice date is. Once the notice window closes, the renewal has happened whether anyone decided it or not.
Around 69% of software contracts carry an auto-renewal clause with a notice period between 30 and 90 days. If your alerts count back from the end date, then on a 90-day notice period your first alert and your actual deadline land on the same day. The automation runs perfectly and tells you nothing useful.

Approval is the stage most often meant when people say contract automation, so it is worth being concrete about what an automated contract approval workflow contains.

Contract status is the field that makes the rest legible. Without it, “where is that contract” is answered by asking people. With it, the answer is a filter. Note what is not on that list: judgement. Routing decides who looks, not what they decide.
Designing the workflow before you buy anything
A workflow is a sequence of steps, each with a trigger, an owner and an output. It becomes automation when the triggers fire by rule instead of by memory. Write it down before you evaluate software, because the exercise usually reveals that you need less software than you thought.
For each step, answer four questions:
- What starts it? A date, a field change, a form submission, a stage change. If the honest answer is “someone notices”, that step is your problem.
- Who owns it? One named person, not a team and not a shared inbox. An alert with no owner is an alert that gets ignored.
- What does it produce? A task, a document, an approval, a record. If a step produces only a notification, it will be dismissed.
- What happens if nobody acts? This is the question that separates a workflow that works from one that looks good in a diagram. Every step needs an escalation path.
The rule that saves the most pain
Every automated step should create a task, not just send a notification.
Notifications are dismissible and vanish. Tasks sit in a queue until somebody completes them, and they are visible to a manager who can see that they have not been. The difference in completion rate between the two is not marginal.
Approval routing rules that hold up
Route on the attributes that actually change who needs to look at something:
- Contract value. Below a threshold, the owner signs. Above it, a manager. Above a second threshold, finance and legal.
- Contract type. A standard order form on your own paper is not the same as a customer’s master services agreement with bespoke terms.
- Deviation from standard. Anything on non-standard terms escalates regardless of value. This is the rule most teams forget and the one that catches the genuinely risky contracts.
- Term length. Multi-year commitments deserve a different level of scrutiny than annual ones.

What to leave alone
Automation failures in this category are rarely technical. The system does exactly what it was told. The problem is that it was told to do something a person should have been doing.
Do not automate the renewal decision. A rule that renews a contract because the end date arrived is not automation, it is abdication. Every renewal should be a decision somebody made, even if the decision took thirty seconds.
Do not automate customer-facing messages at sensitive moments. A price increase, a renewal notice or a non-renewal confirmation should come from a named person’s address and should be reviewed before it sends. The timing can be automated. The sending should not be, and it should never look automated.
The specific failure worth guarding against: an automated renewal reminder reaching a customer who already renewed. It happens when the unenrolment rule is missing, it takes seconds to prevent, and it does more damage to trust than the entire sequence earned.
Do not automate around bad data. Automation applied to incomplete contract records produces confident, well-formatted wrongness at scale. If a third of your contracts have no end date, fix that before you build anything. The automation will faithfully ignore every record it cannot read.
Do not automate a process nobody follows manually. If the current process is undocumented and inconsistent, automating it just makes the inconsistency faster and harder to see. Write it down, run it by hand for a month, then automate the version that survived contact with reality.
Building it in a CRM you already own
Most mid-market B2B teams do not need a contract lifecycle management platform to solve the post-signature problem. They need four properties and one workflow in the CRM their revenue team already works in.
The argument for doing it in the CRM rather than a separate tool is not cost, though the cost difference is large. It is that the alert lands where the work happens. 2. Data. Populate them. This is the slow part and the part that determines whether anything else works. Start with the largest contracts by value rather than trying to do everything at once.
3. One date-based workflow. Triggered on the notice date, with checkpoints counting back from it. Creates a task at each checkpoint, assigned to the named owner.
4. Escalation. If the task at a checkpoint is still open when the next checkpoint arrives, notify the owner’s manager. This is four lines of workflow logic and it is the difference between a system and a suggestion.
5. Unenrolment. The moment the renewal closes, everything stops. Non-negotiable.
6. A dashboard. Contract value by expiry quarter, notice windows closing in the next 90 days, contracts with no owner, contracts missing dates. Sorted by notice date, not end date.
The build is typically an afternoon. The data work before it is typically several days. Anyone who tells you otherwise is quoting the afternoon.

The step almost everyone stops one short of
Here is the failure that survives a successful automation project.
The alerts are built. The dates are right. The tasks fire on time to the correct owner with proper escalation. And renewals still arrive late and under-priced.
The reason is that a reminder announces work rather than doing it. After the alert fires, somebody still has to create the renewal record, rebuild the line items, apply the uplift, set a close date and get it into the forecast. That is fifteen to thirty minutes of manual copying per renewal, and it is exactly the step that gets skipped when the quarter is busy.
The alert was on time. The deal was never built. The renewal is still invisible to forecasting.
Automating the creation of the renewal record, with line items and pricing already applied, before the first alert fires, is what turns a reminder system into a renewal system. Judge any tool or build against one question: after it reminds me, how much manual work remains before this is a real, forecastable deal? The correct answer is none.
Measuring whether it worked

The fourth is the one that matters to the business and the one most teams never measure. Earlier alerts are only worth something if they turn into better renewals. If cycle time improved and pricing did not, the automation succeeded and the process it feeds did not.
